AI dashboard for freight forwarders

Your TMS shows only half the picture.

You cannot yet see the information held in Outlook, your call records and the market.

This source of information has dried up.

An example from a large freight forwarder: each transport planner used to make 100 calls a day. With 200 planners, that meant 20,000 daily sources of information, generating 200–500 loads. Today, staff and customers make fewer calls. Spot business has moved to freight exchanges.

20,000 information sources/day→ dried up

Your data is still all there.

TMS, Outlook and call records – combined with online market data. A wealth of data points that no one currently analyses on a daily basis.

4 sources·1 picture

SpediPilot connects them in a learning system.

It finds billing gaps, identifies customers at risk of leaving and suggests the next automation opportunity – with an agent mode planned to work alongside your team.

Business continues. The relationship does not. No one in the company noticed – because the evidence is in the phone system, not the TMS.

264 companies, 3,977,493 € in annual revenue

no conversation for over 60 days.

Why your TMS cannot see it

Your TMS knows orders and trips. It does not know who called whom and when, what is in the inbox or what the spot market charges for the same lane. These three sources remain unused in every freight forwarding business.

From the TMS – orders and trips, nothing else.

Tasks that close themselves

A task disappears when the problem is resolved – not when someone clicks “done”. The finding “This customer generates revenue, but no one speaks to them” disappears as soon as someone calls them. The call is imported automatically from the phone system. No one has to confirm anything. No one can clear the list by clicking through it.

Task list

  • created because someone adds it
  • disappears with a click
  • cleared by ticking boxes
  • silently goes out of date

Data-based finding

  • created because the data warrants it
  • disappears when the figure changes
  • cleared when work gets done
  • recalculated every night

On the first email import, two companies with combined annual revenue of around 227,000 € were removed from the list “Revenue without contact”. Not because someone had ticked them off, but because email exchanges appeared that the system had not previously seen. The finding was simply no longer true.

This applies to findings derived from data – declining customers, gaps in contact, unknown phone numbers and pricing gaps. A follow-up created manually by a salesperson must also be closed manually.

What the figures mean financially

Three opportunities from the pilot deployment. Each figure comes with its calculation – presented separately, not added together.

Declining customers

1,042,756 €

Annual margin

151 customers

2,653,019 € in volume

Method: Customers with at least 5,000 € in revenue in previous months whose volume fell by more than 40% in the last quarter; margin extrapolated to a full year.

Pricing gap

288,362 €

Annual margin

216 customers

9,795,625 € in volume

Method: Revenue earned below the median margin for the lane; the difference to the median.

Account growth

73,941 €

Annual margin

57 customers

759,355 € in volume

Method: Existing customers with at least 20,000 € in revenue and no more than two lanes; one additional lane per customer.

9,344,202 €

Purchase volume across 6,748 trips more than 60 days old with no supplier invoice recorded.

1,120,415 €

in tied-up capital – a 29.8-day gap between customer and carrier payment terms.

We do not replace your TMS. We see what it cannot.

TMS providers are adding AI themselves: an on-screen copilot, document reading, status updates from a sentence and automated portal tasks. That makes sense – and it serves a different purpose.

Belongs in your TMS and stays there

Order entry from documents, route planning, status updates, notifications and portal tasks.

We analyse your whole portfolio

Which customers are declining, where margins are eroding and which lanes cost too much to buy. Every night, without prompting, across your entire customer base.

A copilot speeds up the process already in front of you. We show you the order you are about to lose.

One example from the prototype add-on
14,000 €

in missed credit notes and billing errors identified – in the first 7 days, at a freight forwarder with just 5 transport planners.

And that is just one finding – issues that do not show up in management accounts. There are hundreds: missed follow-ups, price discrepancies, lost customers and untapped opportunities.

How the AI works

RAG with your data – plus analytics that cannot hallucinate

SpediPilot combines two approaches – using the right one for each task.

RAG

Answers from your own data

The system answers questions such as “What is happening with customer X?” using retrieval-augmented generation. It retrieves the relevant orders, emails and call notes from your database and builds its answer from them – each statement includes a source reference, traceable to the original record. Answers come from your business, not the model’s general knowledge.

Rule-based

Figures that do not hallucinate

The system calculates risk scores, margins, revenue trends and billing gaps deterministically from your data – conventional analytics with fixed rules and thresholds, without AI estimates. AI explains the results in plain language, but cannot invent the figures themselves.

Analysis is proactive too: the system does not wait for your questions – it provides alerts, scores and a weekly report.

AI Market Intelligence

Understand market data rather than relying on gut feeling werden

Our market intelligence system combines historical and current European transport market data and prepares it for AI-supported analysis.

Already integrated

700,000+

historical daily lane values since 2024 – the basis for analysing individual transport lanes such as DE → IT, AT → DE or PL → DE.

Dedicated API

Also available separately

Market Intelligence is also available without the other modules: a dedicated API lets you integrate market data directly into your TMS, BI tool or your own AI.

Integration

Live TIMOCOM market prices – directly in SpediPilot

SpediPilot connects to TIMOCOM Price Insights: current market prices for each lane appear alongside your own margins, so you can see at a glance where you are operating above or below market rates.

TIMOCOM

Live market prices by lane

Market prices from TIMOCOM Price Insights, alongside your actual margins for each lane.

Bring Your Own Key

Your own TIMOCOM account and contracts – your data stays with you. As with AI, you use your own key.

Freight and vehicle capacity offers directly in SpediPilot – in preparation.

TIMOCOM is a trademark of TIMOCOM GmbH. Market data is accessed through your own TIMOCOM account.

Four figures show you what the market is doing

Each lane receives four daily scores from 0 to 100. They do not tell you what a trip costs – they show whether conditions are working for or against you.

Market pressure

How tight is the market on this lane? Signals from both countries are combined into one score, calculated historically from 2024 onwards.

Cost pressure

What is happening to costs? Diesel price trends over the last 7 and 30 days, crude oil prices and price differences between origin and destination countries. A rising score means higher purchasing costs.

Capacity pressure

How scarce is vehicle capacity becoming? Public holidays, school holidays and HGV driving bans in both countries. The score rises before capacity becomes scarce – not just when a carrier cancels.

Risk pressure

How stable is the wider environment? Transport sector insolvencies, industrial production and business sentiment. Shows whether the market around you is changing.

Summarised as a traffic light

  • Calm — normal market conditions
  • Monitor — keep an eye on price trends
  • Tight — secure capacity early

These are market pressure indicators, not freight rate forecasts. They describe your purchasing environment – fuel costs, calendar effects and economic conditions. The price of an individual transport movement still depends on your negotiation.

Modules

What each module does

Operational modules first. Anything not yet ready is labelled “In development”.

AI customer radar

Automatically identifies falling revenue, margin issues, missed follow-ups, billing gaps and opportunities for each customer – enriched with market data.

Declining customers

Early warnings of falling revenue, changing booking patterns and quiet customer attrition – before the customer leaves.

Telephony module

Summarises call notes and transcripts and identifies gaps in contact and escalations.

Email module

Selected shared mailboxes and exports – no unfiltered full synchronisation.

Ask AI

“What is happening with customer X?” – answers include sources you can check at any time.

Prospecting module

Identifies suitable prospects based on your strengths, lanes and market data – including a prioritised contact list.

Customer win-back

Lists of lost customers to re-engage, with relevant talking points, reasons to get in touch and timing.

Transport planning assistant

Suggestions, not automatic decisions: suitable carriers, price ranges, lane experience and risks.

In development

AI case management

Organises complaints, damage claims, delivery delays and price discrepancies, including draft replies.

In development

Customers going to tender

Tender signals from emails, calls and booking behaviour.

The system keeps learning – towards agent mode

Over time, SpediPilot identifies and suggests the next worthwhile automation step for your freight forwarding business. In future, an agent mode is intended to carry out clearly defined routine tasks independently – alongside your team, not instead of it.

Safeguard: For now, the rule remains: AI suggests, your team decides. Communication, pricing and transport planning stay in your hands.

Connect your TMS – even without an interface

Whatever TMS you use, there is a way to connect your data – from a modern MCP interface to a simple CSV upload.

Modern

MCP

Modern AI interface: connects your system directly for AI access.

Enterprise

Lobster / EDI

Already using Lobster? We connect to your existing integration setup.

Automated

Make.com

Does your TMS provide exports or reports? We automate the import – without a native API.

Universal

FTP upload

Does your TMS save files to an FTP server? We collect them automatically.

Simple

CSV upload

Works with any TMS: manual CSV/Excel upload through a simple form – sufficient for customer radar and the weekly report.

We establish the right connection method in our initial meeting – the TMS details you provide on the waitlist help us prepare.

Trust and operations

Clear rules, clear boundaries

Role-based access down to the database

Management can see everything; departments see their own data. The AI question interface cannot bypass these boundaries.

Email analysis with pre-filtering

Changes require a reason, and exceptions are individually documented – no unfiltered full synchronisation.

No metrics calculated in the browser

Every figure is validated in the backend and identifies the analysis it comes from.

EU hosting, dedicated database instance

Runs in the EU on your own database instance – with guaranteed deletion and a full data export when the contract ends.

Your own AI contract

Use your own AI provider (OpenAI (ChatGPT), Anthropic (Claude), xAI (Grok) or LangDock) under your own contract – no markup on AI usage, and your key is stored server-side.

We produce your first analysis before you sign anything.

You provide an extract from your TMS. We give you a list of customers who generate revenue but whom no one is speaking to – with names, revenue and the date of last contact.

Frequently asked questions

What managing directors usually ask first

No. Order entry, route planning, status updates, notifications and portal tasks belong in your TMS and stay there. SpediPilot analyses the whole portfolio: which customers are declining, where margins are eroding and which lanes cost too much to buy.

From a pilot deployment at a freight forwarder. Each figure on this page includes its methodology – filters, period and extrapolation – and we demonstrate the underlying analysis during your meeting.

For data-based findings, yes: the “Revenue without contact” entry disappears as soon as a call or email exchange appears. A manually created follow-up must be closed manually.

Translogica, CarLo, WinSped and others. Connection options range from MCP and EDI to automated exports and CSV uploads – a native API is not required.

In the EU, with a separate database instance for each customer. Email analysis uses pre-filtering and individually documented exceptions. Role-based access controls extend to the database.

Prices start at 750 € per month. The Plus package with five modules costs up to 3,000 € per month; Enterprise starts at 4,000 € per month. All prices excl. VAT. A one-off setup fee applies.
